ActiveLens for Zoom Phone
How to add the ActiveLens app to your Zoom account, what it does once it's connected, and how to remove it.
Prerequisites
- A Zoom account with Zoom Phone.
- A Zoom account admin, or a Zoom role that can add admin-managed apps, to approve the app.
- Automatic or on-demand call recording turned on in Zoom for the people you want to capture. ActiveLens only receives calls that Zoom has recorded.
- An ActiveLens account, and an ActiveLens workspace admin to set the app up. You can start free.
Call-recording laws differ by country and state. You're responsible for telling the people on your calls that they're being recorded, and for getting their consent where the law requires it.
Adding the app
- Sign in to ActiveLens as a workspace admin and go to Settings → Connected apps → Zoom Phone.
- Click Connect with Zoom.
- Zoom opens. Sign in as a Zoom account admin, review the permissions ActiveLens asks for, and click Allow. You're taken back to ActiveLens.
- Choose who gets an ActiveLens user. ActiveLens lists everyone on your Zoom account with a Zoom Phone licence, with their extension and phone numbers. People whose Zoom email already belongs to your workspace are linked to their ActiveLens user; anyone else is invited as a new user, or you can pick a member yourself. Tick the people you want and click Add 3 people (the number follows your selection). You can skip this and do it later.
- Import recent calls (optional). Choose Last 7 days, Last 14 days or Last 30 days and click Import calls. ActiveLens imports recorded calls longer than 30 seconds, up to 50 per person and 150 per import.
- Sync new calls. Turn on Sync new calls automatically and click Finish.
Using the app
- When Zoom finishes recording a call for someone you've linked, the call appears in ActiveLens on its own, transcribed and summarized. Depending on your workspace settings, ActiveLens also creates the tasks and drafts the follow-up.
- Use Ask Anything to search and ask questions across your calls.
- To pause one person, turn off Sync this person's calls next to their name in the People list. To pause everyone, turn off Sync new calls automatically.
- To unlink someone, click Unlink from Zoom Phone next to their name. They stay in your workspace, and their Zoom Phone calls are no longer imported.
- Only workspace admins can connect, set up or disconnect Zoom Phone.
- Synced calls count toward your plan's call limit.
Permissions the app uses
All of them are read-only. The ActiveLens app never changes anything in your Zoom account.

Removing the app
- In ActiveLens, go to Settings → Connected apps → Zoom Phone, click Disconnect and confirm. ActiveLens revokes its access at Zoom, deletes its stored Zoom tokens and removes the links between Zoom Phone users and ActiveLens users. The users themselves stay in your workspace.
- In Zoom, open the Zoom App Marketplace, go to Manage → Added Apps, find ActiveLens and click Remove. If you remove it here first, Zoom tells ActiveLens, and ActiveLens disconnects in the same way.
What happens to your data
- Once the app is removed, ActiveLens stops receiving calls from Zoom and deletes the Zoom tokens it stored.
- Calls already imported stay in your workspace until you delete them. A workspace admin can delete them automatically after a set number of days in Settings → Data retention, or email contact@activelens.ai to have them deleted.
